Three weeks ago, we opened Planner Assistant to public beta. Today, 40% of our customer base is already using it. (YAY!) That's faster adoption than we expected, and the feedback has been genuinely great. But it’s also highlighted a common challenge: planners are excited about AI, but don’t always know what to ask it or how to get the most from it. And that makes sense. We talk a lot about what AI can do for event planners, but there’s a big difference between having AI available and knowing how to use it to get something useful from your event data. So, we looked at some of the most impactful ways planners have been using Planner Assistant and turned them into a practical prompt guide. The prompts aren’t specific to EventsAir. They’re designed to work with any AI assistant that has access to your event data. If you’re experimenting with AI for your events and wondering where to start, hopefully this helps 👇 Full guide in the comments.

A stat from one of our recent events stopped me in my tracks: across three days and roughly 3,000 attendees, our live support team fielded just 5 queries. In previous years, that same event needed dedicated staff on hand the whole time to answer attendee questions. This year, we kept live support running, but we also switched on EventsAir's Attendee Assistant. The AI handled the rest, instantly answering questions about the app and the event content, no waiting on hold or for a reply. I've been using EventsAir for over 10 years now, and attendee experience has always been central to that relationship. For most of the events we run at MICE Concierge, attendee satisfaction is one of the key measures our clients use to judge success. Technology plays a huge role in getting there, whether that's running events hybrid or replacing printed guides and agendas with the attendee app. Attendee Assistant has taken that a step further. What's surprised me most isn't just the drop in enquiries at an event (though that's freed up real time for us to focus on other parts of delivery), it's what it has shown to our clients. It's a clear example of how AI can be built into an event in a way that genuinely works, and it's opened up a new conversation with them about where our services are headed. Ten years in, and EventsAir still finds ways to make my job easier and our events better for the people who matter most: the attendees. #EventTech #AttendeeExperience #EventProfs #EventsAir

Every event planner has been in this moment. Your stakeholders ask how you plan to improve day two. You say "trust me" or you say "give me a couple of days to run the reports." Neither answer is good enough. I spent some time with the EventsAir team recently and what they showed me with Air Intelligence is essentially the middle ground that answer has always needed. Most platforms are connecting AI to their product via an external API. EventsAir has done something different: they have embedded LLMs directly inside the platform, so the AI is reasoning over your actual event data, not generating a generic response from somewhere else. The Planner Assistant demo used their own user conference as a test case. Mid-event, day two approaching, ask it to review all day-one survey feedback and surface what needs addressing before tomorrow's sessions open. It tells you which sessions ran too basic for experienced attendees, which parts of the programme felt like filler, what to change and why. Not a summary. Actual decisions you can act on before the coffee gets cold. That is a different kind of tool. The events industry has had valuable data sitting inside platforms for years. The problem was always that surfacing it required either specialist skills or a reporting cycle that produced answers too late to be useful. I wrote it up properly. Link in the first comment.
