Most accounting firms don’t have a workflow problem. They have a visibility problem. Every week, partners and ops leaders ask the same three questions: Who’s overloaded? Who’s got room? Where do we need to shift work? I hear the phrase “capacity planning” from accountants and firms almost every day, on calls, at conferences, and during their evaluation of practice management tools. Capacity planning is a huge sticking point for firms to manage seasonal workloads, whether it's end of month or tax season. But the tools firms rely on — spreadsheets, dashboards, even the “capacity views” bolted onto other platforms — only show slices of reality. Forecasts without context. Hours without ownership. Signals without action. Those gaps costs firms more than time. They costs predictability, morale, and margin, especially when capacity looks different to different roles. Partners & Managers: Need to see a high-level view of how work is spread across your team. They need functionality that easily reassigns work if you see someone is over capacity. Staff: Need to know exactly what’s on your plate, without overwhelming back and forth. These are the team members who reap the benefits of easy reassignment when overload is alleviated and predictability is possible. Clients: As a firm, you need to deliver uniform and predictable experiences for every client. And any time you can make something uniform, you and the client win, and that uniformity starts with managing workload efficiently and setting clear expectations. This is why I’m excited about what our team just released. Canopy's new Capacity Planning brings the real picture into view — and gives firms a way to rebalance work in seconds. Side-by-side workload Real-time hours Drag-and-drop staffing One move updates the assignee, the hours, and the budget instantly And it all lives inside Workflow — the place your team already works If you’ve ever found yourself saying “capacity planning” and wishing there was an easier, more intuitive way to find a rhythm at work, you should check this out. I recorded a short walkthrough of how it works (below).

𝗖𝗮𝗻𝗼𝗽𝘆 𝘄𝗮𝘀𝗻’𝘁 𝗮 𝗾𝘂𝗶𝗰𝗸 𝗳𝗶𝘅. And that’s exactly the point. No tech is a magic button. It took leadership stepping out of billable hours. And it took the discipline to standardize before scaling. If you run an accounting firm, you're going to love these 4 new AI features one of the leading practice management systems just dropped. Take a look: From a recent sponsored feature overview I put together for Canopy If you aren't familiar with Canopy they're one of my top recommended platforms for practice management. A feature-nerd's dream, super polished, and now comes packed with some cool AI goodies 👇 (the 4th feature I NEED built into every accounting app immediately) 1. AI That Prefills Client Forms Maybe the first example I've seen of AI to save your CLIENTS time & headache. Canopy will look at the client record + the file system to pre-fill form responses with the stuff you already know about the client. If my eye doctor had this feature it would've saved me 20 minutes this week. 2. AI Generated Questionnaires Rather than manually build a list of questions for the client, you give Canopy a document with questions (from your tax software or elsewhere) and/or an AI prompt, and it'll build out the list of requests for you. In the video example the AI even made some of the questions conditional 🧠 3. AI To Build Document Requests Same problem here, you need a list of docs that are specific to that client. Simply give Canopy a list, the prior year workpaper file, or point it to the files already in the system with an AI prompt and it'll build a list of documents based on what it sees (and follow-up with the client until they're provided). Consider how powerful those follow-ups are across EVERY project in your firm. 4. AI File Renaming This is one of those why-didn't-somebody-think-of-this-sooner features. You create a firm-wide file naming convention, for example UPLOADDATE-DOCTYPE-DOCISSUER, then Canopy auto-renames every client doc automatically. It worked reasonably well in testing. Because clients will give you weird one-off docs there's no perfect version of this feature, but I'll happily avoid renaming 80% of docs the client gives me 🙂 If you're going to shake up your accounting firm's tech stack, Canopy's one of those must-consider options that usually replaces a bunch of apps in your stack. This a great example of AI product development done well 👏
