20 check-in devices do not necessarily mean 20 attendees can check in at the same time. The scanner is often the fastest part of registration. The delay happens before attendees reach it. Someone is searching their inbox for a QR code. Another attendee is turning up their screen brightness. Someone else has joined the wrong queue or registered with a different email address. Meanwhile, the device is ready. Adding more hardware will not solve a bottleneck that happens earlier in the journey. A better approach is to prepare attendees before they reach the scanner: 1️⃣ Put the QR code at the top of pre-event emails 2️⃣ Send a simple QR code reminder on the morning of the event 3️⃣ Give attendees space to get ready before joining the check-in flow 4️⃣ Identify where queues are actually slowing down before adding more devices We break down this belief and seven others that event teams should reconsider in our new guide.

Event math, according to every planning meeting: more iPads + more staff = shorter queue. Event math, according to event day: the queue did not move. Everyone was still scrolling for their QR code. Eight Swapcard onsite experts break down the registration beliefs that cost event teams time, and what to plan for instead.
