Now an AI agent reads the request, the drawings and the plant list and matches everything to the right line items. The work planner gets a draft quote that is about 80% done. Customer orders in Exact Online work the same way.

𝗔𝘁 𝗫𝗽𝗼𝗹, 𝘁𝗵𝗲 𝗰𝗼𝗹𝗹𝗲𝗮𝗴𝘂𝗲 𝘄𝗵𝗼 𝗸𝗻𝗲𝘄 𝗲𝘃𝗲𝗿𝘆 𝗲𝘅𝗰𝗲𝗽𝘁𝗶𝗼𝗻 𝗿𝗲𝘁𝗶𝗿𝗲𝗱 𝗶𝗻 𝗠𝗮𝘆. Xpol, a fresh-flower wholesaler, handles about 150 orders a week. An AI agent now prepares every order in Business Central, and a colleague approves it in 1 click. That saves about 20 minutes per large order, and the 1 to 2 planned hires were no longer needed.

Imagine spending half your day in this screen. Most people in working in the physical economy don't have to imagine it. I've been giving presentations lately on AI and ERPs. One slide always gets the same reaction: a screenshot of a typical ERP interface. The kind that looks like it was built before the internet existed. Because it probably was. What follows is always the same conversation. CFOs and COOs telling me their teams spend 30 to 50% of their day copying data between systems. Orders come in by email. Someone retypes them into the ERP, field by field. Shipment info lives in the TMS, which usually doesn't look much better. Customer requests sit buried in inboxes. And Excel holds it all together with duct tape. They tell me it's "working as is." It isn't. It's people acting as the glue between systems. These are smart, experienced people. They know the customers, the exceptions, the product that always ships late. And they're still doing the work an agent can do better, faster, and cheaper today. They should be building customer relationships, solving the tricky exceptions, improving how things run. The work where humans actually make the difference. It's time to stop accepting this as the cost of doing business.

Our AI agent reads the order and finds the sold-to, the ship-to and the materials, including your customer's own part numbers. It checks price, quantity and delivery date and creates the sales order in SAP S/4HANA or ECC. Anything outside your rules goes to your team with the reason.

Xpol now runs order entry with an AI agent. From inbox, straight into their ERP. Every order desk has one person who knows all the exceptions. At Xpol, that person retired in May. Xpol moves fresh flowers from African farms to retailers across Europe. Hundreds of orders a week, arriving as PDFs, Excel files, CSVs and portal exports. Every customer has its own rules: unit conversions, weekday-specific label text, multi-depot splits. Most of those rules lived in one senior specialist's head. The default move is to hire a replacement and hope the handover sticks. Xpol codified the rules instead. The agent reads whatever format the customer sends, applies 25 customer-specific rulesets, and pre-fills the order in Business Central. A person reviews and signs off with one click. Ambiguous fields stay blank rather than guessed, and that's deliberate: every blank field points at a framework contract with overlapping dates or a customer code that needs cleaning. Live in production since April. Roughly 20 minutes saved per large order. 1 to 2 planned hires avoided. Tribal knowledge is an asset. Most companies only find out what it was worth after it walks out the door. Full story in the comments.

The signings we like best are the ones where the second and third process are already on the table before the first one is live. Argos Packaging & Protection has just signed with Lleverage! Argos supplies packaging and protective materials from the Westland, the hard of the Dutch Food & Horti industry. Home turf for Arno Eussen, our Industry Expert. We're starting with Order Entry. Those orders arrive by email, and no two look the same: one is a spreadsheet, the next a Word file, the next a PDF. Somebody has to read each one, work out who sent it and which item each line refers to, then key it in. A lot of it hinges on interpretation and exceptions. Easy for a senior employee, hard to replicate in a growing organisation. Our agents do the reading and matching. The order desk keeps the ones that need a decision. They join Nature's Pride, Harvest House and several other Westland companies moving the work behind their operations onto our agents. Good to be starting with Quint van Alphen and the team! Let's do it Noah van Rijn and Akshay Bharos 💪
